Fee Adjustment Appeal Process
Students who believe that an adjustment of educational fees should be made beyond what is outlined in the established schedule—or who believe they should not be charged a late registration fee—may file a Fee Adjustment Appeal.
Exceptions to university policies are considered only under unique or extenuating circumstances. Students must include all requested information, including specific course details.
Note: Not all fees are refundable or adjustable. Appeals must be submitted within 20 days of the billing date. All adjustments are final as of the last day of classes for the current term.
The Registrar’s Office is responsible for reviewing and approving exceptions to the published educational fee refund policy. Any changes can only be made within the boundaries of already-established rates.
For more information, refer to the official refund policy.
Process for Requesting Fee Adjustment or Waiver of Late Registration Fee
- Access the Form: Fee Adjustment Appeal forms are available on the Registrar’s Office website under "Forms."
- Complete the Form: Include a typed statement explaining your reason for requesting the adjustment, and attach all supporting documentation.
-
Meet the Criteria: Your appeal must meet at least one of the following:
- Documented Illness or Emergency: Illness, injury, or unforeseeable situation beyond your control that resulted in a change to your class schedule. This does not include ongoing or known chronic conditions, or employment-related issues.
- University Miscommunication: Documentation that a named University official misinformed you about a policy or deadline, resulting in a mistake on your part.
- Other Exceptional Circumstances: At the Registrar’s discretion, exceptions may be made when in the best interest of both the student and the University.
- Note: Failure to properly complete registration in Joe’SS is not valid grounds for appeal. Students are responsible for ensuring their registrations are correctly processed.
-
Students Called to Active Military Duty:
- Full tuition refunds will be granted if military activation conflicts with the academic semester and the student withdraws from all courses.
- Submit a copy of your military orders to the Registrar’s Office.
- Consult faculty regarding academic progress and grading depending on your activation date.
-
In the Event of Student Death:
- If a student passes away during the semester, a full refund of educational fees will be authorized.
- Refunds will be issued to the administrator or executor of the student’s estate.
-
Submit documentation of the student’s death to the Division of Student Success:
106 Norwood Hall, 320 W. 12th St., Rolla, MO 65409
Phone: 573-341-4292
- Keep a Copy: Retain a copy of your completed form and all submitted materials for your records.
Refund of Tuition and Required Fees
Any student who enrolls in classes for a given term is responsible for the tuition assessed for that term. If a student drops a course, withdraws entirely, or is dropped for non-payment, they are still responsible for the appropriate portion of fees for the semester—regardless of whether full payment had been made at the time.
If a student drops, withdraws, or is dropped for non-payment during the term, a refund will be automatically processed based on the schedule published at
https://sfs.mst.edu/billingpayments/.
If the student’s account shows a balance due at the time of refund, the refund will first be applied to that outstanding balance. If financial aid was involved, part or all of the refund may be returned to the appropriate financial aid program, not the student.
Any funds returned directly to the student will typically take 2–3 weeks for processing. Students should confirm that their current address is listed in Joe’SS to avoid delays.
Waiver of Late Registration Fees
A late registration fee—equal to one undergraduate credit hour—is assessed starting the first day of class. Waivers may be granted if the student provides documentation of unusual or extreme circumstances beyond their control that caused the late registration.
